Truck Software That Works the Way You Run Your Business

What to look for in truck software as an independent carrier or small fleet, and how HaulerPro handles dispatch, docs, IFTA, and more in one place.

Search "truck software" and you'll find dozens of platforms aimed at enterprise fleets, freight brokerages, and logistics companies with full IT departments. If you're running one truck or fifteen, most of that software wasn't built with you in mind. This article breaks down what truck software should actually do for an independent carrier or small fleet, and where HaulerPro fits into that picture. For a deeper look at how TMS platforms compare, see the guides index.

What Truck Software Actually Needs to Do

At its core, truck software for an independent carrier needs to handle a handful of things without making your life harder:

  • Dispatch: Get loads assigned to drivers quickly, with clear documentation of what's been sent and what's been accepted.
  • Documents: Keep BOLs, rate confirmations, and PODs attached to the right load, not buried in email threads or a folder on your desktop.
  • Invoicing: Turn a completed load into an invoice without re-entering data you already put somewhere else.
  • IFTA mileage: Know how many miles you ran in each jurisdiction each quarter so you're not guessing at filing time.
  • Expenses: Log fuel, tolls, and other costs against specific loads so you can see actual profit, not just revenue.
  • Driver visibility: Know where each load stands without calling your driver every two hours.

Many carriers also need driver settlement statements, a maintenance record for their equipment, and a way to track loads from the field. The right truck software handles all of this in one place instead of forcing you to stitch together separate tools.

The IFTA Problem Most Truck Software Gets Wrong

Quarterly IFTA filing is one of the clearest tests of whether truck software is actually built for carriers. The concept is straightforward: you owe fuel tax to each jurisdiction based on miles driven there, offset by tax already paid at the pump in that jurisdiction.

The hard part is the mileage. Many carriers spend hours at the end of each quarter piecing together trip logs and routing records to figure out how many miles they ran through each state. Software that doesn't capture per-jurisdiction miles automatically forces you to do that work manually.

HaulerPro captures per-jurisdiction miles automatically from dispatched loads using route polygon intersection. When you dispatch a load, the system maps the route and attributes miles to each state the load passes through. At the end of the quarter, you pull the aggregated mileage data from the quarterly panel and export an ifta_miles.csv file. That file gives you per-jurisdiction miles you can use as input when you file with your state's IFTA administering agency. HaulerPro does not produce a filing-ready return, and fuel receipts are scanned and stored on the load record rather than auto-attributed to jurisdiction. The carrier reconciles fuel against the mileage export at filing time. Coverage is the 48 contiguous states plus DC.

It's not a push-button filing solution. But it means the mileage data is there, organized, and exportable when you need it, rather than scattered across paper logs and spreadsheets.

Dispatch and Document Flow

For a small fleet, dispatch speed matters. HaulerPro lets you dispatch a load in under 60 seconds once you're set up, and you can have your first load live in under 10 minutes from the time you sign up. That's not a marketing stretch. It's a product design choice: independent carriers don't have time to configure a system for a week before it does anything useful.

Documents attach to the load record where they belong. When a driver scans a BOL or rate confirmation from the driver app, it attaches to the specific load they scanned it for. PODs auto-attach to the invoice for that load. There's no global document inbox and no manual routing. You pull up the load, the paperwork is there.

Driver visibility works through manual status updates. The driver opens the app, taps a status, and that update flows to dispatch and shows on the load record. No GPS hardware required, and no real-time location tracking. Full visibility on every load without calls to chase status.

Driver Settlements and Fleet Management

Paying drivers accurately is one of the most friction-heavy tasks in a small fleet. HaulerPro generates driver settlement statements from the loads and time entries already in the system. Five pay bases are supported: percentage of load, flat per load, per mile, per day, and per hour. Per-settlement deductions are supported for things like fuel advances, escrow, or insurance, with labeled lines showing gross pay, total deductions, and net pay on a single statement.

Double-pay protection prevents a load or date already settled on one statement from appearing on a later one. Each settlement is an immutable snapshot: line items are locked at generation and don't change if you later edit the underlying load. Drivers see their own statements in the driver app, read-only.

On the fleet side, HaulerPro includes an optional vehicle inventory for trucks and trailers. Loads can reference a specific truck and trailer from inventory. The maintenance tracker records service history per vehicle, computes next-due dates from odometer intervals, and shows in-app reminders for what's due or overdue across the fleet. Reminders are in-app only, not sent by email or text.

What to Watch Out For in Truck Software Pricing

Truck software pricing models vary more than most carriers expect. Some products charge per truck, others per user, others per load. The structure matters because it affects what you actually pay as your operation grows.

HaulerPro prices by user, not by truck. That means a manager, a dispatcher, and a driver each count as one user. Plans start at $95 per month for up to 5 users, or $250 per month for up to 15 users. There's a 14-day free trial with no credit card required. Driver logins count toward the seat limit, so plan accordingly when you're sizing your team.

If you're evaluating other platforms, ask specifically whether driver logins count as users and whether pricing scales with trucks, loads, or people. The answer shapes the real cost at your fleet size.

Finding Loads Inside HaulerPro

HaulerPro integrates with 123Loadboard so you can search available loads from inside the platform without switching tabs. This is a third-party integration, not a native feature. A separate 123Loadboard subscription is required to access load search through HaulerPro.

Support When You Actually Need It

HaulerPro offers founder-led support from someone who built the software around how carriers actually work. If something breaks or doesn't make sense, you're not working through a ticketing queue staffed by people reading from a script.

Start Running Leaner

If your current truck software isn't keeping up, or if you're still running dispatch out of spreadsheets and email, HaulerPro is worth a look. Dispatch, documents, IFTA mileage, driver settlements, maintenance tracking, and invoicing in one platform, built for independent carriers and small fleets.
